Stripe collects and processes this information directly. We receive and store only limited transaction data such as payment status, amount, and a partial card summary (e.g., brand and last four digits).
e) SMS Consent Records
If you opt in to receive SMS communications, we store your phone number, consent status, the date and time consent was given or revoked, the source of consent, your IP address at the time of consent, and the consent text you agreed to.
04 — Form Submissions & Contact Data
Our website contains contact forms, including the “Get Started” form available on the Get Started page and through the slide-in panel accessible from multiple pages. When you submit a form, we collect the information you provide along with technical metadata such as your IP address, user agent, referrer, and landing page.
Form submissions create a lead record in our internal CRM system. This information is used to:
- Respond to your inquiry personally
- Understand which programs and services you may be interested in
- Track the effectiveness of our marketing campaigns
- Maintain a record of communications for quality and follow-up purposes
Form submission data is stored on our own servers and is not shared with third parties for their independent use.
05 — Website Tracking & Analytics
We use both an in-house tracking system and third-party analytics tools to understand how visitors use our website.
In-House Tracking
Our website includes proprietary tracking code that records page views, session identifiers, page visit duration, scroll depth, device type, browser, operating system, UTM parameters, and referring URLs. This data is stored in our own database and is used solely for understanding website usage, improving the user experience, and measuring marketing performance. This tracking does not rely on third-party cookies and operates independently of any external service.
Google Analytics 4 (GA4)
We use Google Analytics 4 to collect aggregated, anonymized data about website traffic and user behavior. Google Analytics uses cookies and similar technologies to collect information about your use of our website. This information is transmitted to and stored by Google on servers in the United States and other countries. Google may use this data to contextualize and personalize the ads of its own advertising network.
You can opt out of Google Analytics by installing the Google Analytics Opt-Out Browser Add-on.
Google Tag Manager
We use Google Tag Manager to manage and deploy tracking scripts on our website. Google Tag Manager itself does not collect personal data, but it facilitates the operation of other tracking tools described in this policy.
06 — Cookies & Similar Technologies
Our website uses cookies and similar technologies for the following purposes:
a) Strictly Necessary Cookies
These are essential for the website to function properly. They include session cookies for form security (CSRF tokens) and basic site functionality. These cannot be disabled.
b) Analytics Cookies
These cookies help us understand how visitors interact with our website by collecting and reporting information anonymously. This includes Google Analytics cookies and our in-house session tracking.
c) Advertising Cookies
These cookies are used to track visitors across websites and display ads that are relevant and engaging. This includes Meta/Facebook Pixel cookies and Google Ads cookies.
Cookie Consent
When you first visit our website, a cookie consent banner is displayed. You may choose to “Accept” or “Decline” non-essential cookies. If you decline, analytics and advertising cookies will not be activated. Your choice is stored in your browser’s local storage. You may change your preference at any time by clearing your browser storage.
If you decline cookies, strictly necessary cookies will still be used to ensure the website functions correctly.
Managing Cookies
Most web browsers allow you to control cookies through their settings. You can typically set your browser to refuse all cookies or to indicate when a cookie is being sent. For more information about managing cookies, visit your browser’s help documentation.
07 — Advertising & Conversion Tracking
We use third-party advertising services to reach people who may be interested in Vita Nova and to measure the effectiveness of our advertising campaigns.
Google Ads
We use Google Ads conversion tracking to measure when a website visitor completes a meaningful action (such as submitting a form) after clicking on one of our Google advertisements. This involves a conversion tracking tag that sends limited, anonymized data to Google when a conversion occurs.
Meta / Facebook Pixel
We use the Meta Pixel (Facebook Pixel) to track visitor activity on our website and to measure the effectiveness of our advertising on Facebook and Instagram. The Meta Pixel collects information such as your IP address, browser information, page URL, and actions taken on our website (e.g., page views, form submissions). This data may be used by Meta to personalize ads shown to you on its platforms.
You can control how Meta uses your data for advertising by adjusting your Facebook Ad Preferences.
08 — SMS Communications & Consent
We may send SMS (text) messages to individuals who have explicitly opted in to receive them. SMS messages are sent through Telnyx, a third-party telecommunications provider.
Consent
SMS consent is only collected when you actively check a consent checkbox or otherwise explicitly agree to receive text messages. We record the following when consent is given:
- Your phone number
- The date and time consent was given
- The source of consent (e.g., web form)
- Your IP address and user agent at the time of consent
- The exact consent text you agreed to
Opting Out
You may opt out of SMS communications at any time by:
- Replying STOP to any text message you receive from us
- Contacting us directly by phone or email
When you opt out, your phone number is added to an internal suppression list to prevent future messages. Opt-out requests are processed immediately.
Message Frequency & Costs
SMS message frequency varies based on your interaction with Vita Nova. Standard message and data rates may apply depending on your mobile carrier plan.
09 — Email Communications
We may send you email communications in response to your inquiries, to provide information about our services, or to follow up on previous conversations. All emails are sent from our own systems or through authorized email service providers.
We do not send bulk marketing emails without your consent. Transactional emails (such as responses to form submissions) may be sent as part of our normal business operations.
You may request to stop receiving emails from us at any time by contacting us directly or by using any unsubscribe mechanism included in the email.
10 — Payment Processing
When you pay an invoice through our public invoice portal, payment processing is handled entirely by Stripe, Inc. Stripe is a PCI-DSS Level 1 certified payment processor.
We do not store your full credit card number, expiration date, CVV, or bank account information on our servers. Stripe collects this information directly and processes the transaction on their secure servers.
The information we receive from Stripe includes:
- Payment status (succeeded, failed, refunded)
- Payment amount
- Partial payment method summary (e.g., “Visa ending 4242”)
- Receipt URL
- Transaction and payment intent identifiers
For details on how Stripe handles your data, please review Stripe’s Privacy Policy.
